In the urgent care space, stress and burnout are real. New tools give back overworked clinicians more than 90 minutes a day.

The situation

Experity is the largest provider of software for managing electronic health records and patient billing in the urgent care space. With some 7,000 urgent care clinics and 4 million patients in their system, they recognized that clinicians were losing time and money to high-volume, non-clinical work such as answering patient questions, routing lab results, managing intake forms, coordinating follow-ups and reprinting paperwork. Frustration, delays and burnout were impeding service and diminishing patient satisfaction.

Experity came to Loka for help unplugging the administrative bottleneck. Their ambition was not to streamline these workflows for providers but to eliminate them entirely through agentic AI automation.

The challenge

Experity's pilot program spanning 35 clinics found that small administrative tasks compounded into 1.9 million touchpoints. Their findings align with independent research that determined administrative bottlenecks in the clinical setting pull staff away from care delivery, increased costs and accelerated burnout

The solution

AI Scribe listens to and transcribes physician-led conversation during patient visits; extracts ICD-10 and CPT codes from diagnoses, procedures; then generates structured clinical notes and applies relevant medical coding to the patient’s electronic medical records (EMR). Freeing up providers from the burden of note-taking and follow-up leads to improved throughput, better note accuracy, a reduction in after-hours charting and less burnout.

Care Agent is a production-grade agentic AI system that understands intent, makes decisions and takes action by scheduling appointments, routing lab processes, triggering follow-ups, handling documentation and escalating to humans only when judgment is required. Built on Amazon Bedrock and AgentCore, it operates on 13 reusable agentic skills, meaning the same foundation can scale across clinics, workflows and new use cases without building from scratch. The system was architected with HIPAA compliance as a design principle and delivered on an aggressive three-month timeline to support rapid entry into the marketplace.

Available via text message and secure web chat, Care Agent can share discharge notes and lab results with any patient in Experity’s system. Additional features such as triage assessments, payment collection and appointment reminders will roll out throughout 2026.

What we delivered

AI Scribe saves approximately seven minutes per patient interaction, totaling 221,666 hours reclaimed during the pilot. The AI system transcribes audio 10–20X faster than real-time speech and generates summaries in ~17.7 seconds at a cost of $0.017 on average. Lab workflows save 13 minutes per interaction, equating to about 1,300 hours per lab. One clinic reduced printing costs by $30,000 per month—simply by eliminating unnecessary paper! 

In production, more than 2,000 providers saw visit times drop by 5–15 minutes per encounter, with clinicians reporting up to 90 minutes per day returned for patient care rather than documentation. 

Ultimately, AI Scribe and Care Agent deliver on one of AI’s greatest promises: They accurately and securely complete repetitive tasks to free human specialists to focus on the things that matter most.
